The Paper Problem:
The CARCO Group Inc., specifically the Insurance
Services Division, act as authorized vehicle inspection
agents for virtually every automobile insurance
carrier in all states. These carriers require
cars which have physical damage insurance coverage,
be inspected by a representative of the insurance
carrier at the inception of coverage. The inspection
includes verification of the Vehicle Identification
Number (VIN), a list of options and accessories,
a description of any damage on the vehicle and
photographs of the vehicle itself.
Prior to the installation of a custom developed
PaperSolve document imaging solution, the CARCO
Group accomplished this task by having their remote
field agents submit photographs along with signed
inspection reports to the headquarters in Saint
James, New York. Upon arrival, the inspection
reports went through the following paper trail:
1. Quality control representatives would
verify the contents of each inspection package
and sort them by State and insurance company.
2. Once sorted, the inspections were then
physically placed in appropriate bins where data
entry personnel could access them.
3. Data entry agents would then leave
their stations to pickup stacks of inspections
from bins designated by state and insurance company
based on workload or specific turn-around time
requirements.
4. After all information was keyed into
the legacy mainframe billing & tracking system,
completed inspections were then placed in cardboard
file boxes and stored in the local warehousing
facility for up to seven years, depending on specific
state requirements.
5. Upon a request for a copy of a stored
report, a customer service representative would
need to have the appropriate carton retrieved
from the storage facility, locate the physical
inspection report, make copies of the required
forms and photos and then package and ship them
to the requesting parties.

The PaperSolve Solution
With the installation of our PaperSolve document
imaging solution, multiple inspection reports
are now submitted with a single floppy disk containing
all photos required. Inspections may also be transmitted
via the Internet through Email of FTP facilities.
The new Inspection Report Work-Flow for the CARCO
Group is as follows:
1. Quality control agents now import digital
photos from floppy disks, Email and FTP transfers,
match them with scanned copies of the inspection
if required and store them to combination magnetic
and optical storage.
2. Data entry agents now receive their
workload via electronic queues managed by supervisors
without anyone ever leaving stations.
3. Retrieval of inspections is now instantaneous
and delivery is accomplished via Email.
